Planning From A Distance

Wedding Coordination. A new service with CNP. And honestly, something we see more and more couples asking for. Especially for couples planning from a distance. Today, we want to show you what our Wedding Coordination Services look like in action. Let’s go behind the scenes of Coordinator Alicia for the Ochs wedding this past July. You will get to see from behind a different lens. Be kind, this lens happens to be Alicia’s iPhone.

At CNP, our goal with Wedding Coordination is to help reduce wedding day stress and reroute wedding day vendor communication. Planning a wedding takes months. The month of your wedding, vendors really start to fine tune details and timelines. This leads to a lot of emails, texts and phone calls. Traditionally, the couple handles this communication. With our Wedding Coordination Services, this is what we eat, sleep and breathe.

Native Dubuquers, Molly and Kedi, had been planning their wedding from a distance. The couple calls Colorado home. Realizing the challenge of planning from a distance, the couple decided a Day-of-Coordinator was a necessity. Additionally, traveling home and spending time with their family and wedding party before the wedding felt like planning an entire week of events and activities in itself. Alicia started working with them in June; she helped manage and coordinate all the vendors and details of their day.

The Initial Call

This is the best part for most couples. This is what we like to call the “brain dump.” No need to be organized or well thought out with this step. This is also when you give Alicia permission to be your “second brain” for the wedding day. With Alicia taking detailed notes, Molly and Kedi were able to share the vision of their day and outline items of importance. To save time, the couple completed our details intake form. This form gathers information about locations, vendors, and budget. After the initial call, the work begins.

Alicia contacted and introduced herself to all the vendors and started building the day-of-timeline. In the weeks leading up to wedding week, the couple and Alicia communicated often by text and phone calls. One week from the wedding day, Molly and Kedi reviewed the timeline with Alicia. All vendors receive their own timeline for wedding day. Alicia takes care of the master timeline.

Wedding Week

In the weeks leading up to the wedding, Alicia’s house became the designated drop zone for décor. For days, the Amazon packages kept arriving. The week before the wedding Alicia and Kedi chatted about some wedding details. On that call, Kedi expressed his gratitude for Alicia. Since their initial call, Kedi could see the stress disappear from Molly. For a groom to see his bride relax in the weeks before the wedding rather than worry or stress, that is something special. We love that! With Alicia as the “second brain,” Kedi and Molly were truly able to enjoy the month of their wedding.

Wedding week arrived. Molly and Kedi met with Alicia in person. The décor was arranged and organized for transport to the venues. All the details were discussed, and they could relax and enjoy the events of wedding week.

Some moments you won’t see in Kedi and Molly’s wedding gallery might be Alicia’s covered kitchen table, her trunk full of wedding décor and snacks for the bridal party, or her detailed timeline of the wedding day. You also won’t see her at the kitchen table putting together centerpieces at 10:00 on a Saturday night. Alicia took care of organizing and dropping off ceremony and reception décor. She also made sure the setup aligned with Molly and Kedi’s vision.

Having a designated person for all vendors to check in with the day of the wedding, helped alleviate communication with the couple. Vendors had a point person. Someone to answer questions quickly. And someone to make decisions quickly. Alicia also developed a new skill from this wedding. She became an honorary cake cutter. But not without some help in the kitchen.

Consider Coordination Services

Soaking in every moment of your wedding week and wedding day are so important. These moment go by quickly. The month leading up to your wedding day should not be stressful.
